General Statement

Heatherview Court fully respects your right to privacy and will not collect any personal information about you on this website without your clear permission. Any personal information which you volunteer through this website will be treated with the highest standards of security and confidentiality, in accordance with the Data Protection Acts, 1988 and 2003.

Data Collection

We collect only personally identifiable information that is specifically and voluntarily provided by visitors to our website. Heatherview Court receives limited identifiable information such as name, email address, telephone number from website visitors. A visitor may choose to provide personal information in the following examples;

 
• When you place a room reservation
• Contact us for further information

Demographic information, including gender and occupation, is not actively sought, but may be submitted by a visitor to our office when filling in an application form.

It is HVC policy to restrict the information collected to the minimum information required to complete an accepted students Request to be accommodated.

HVC do not require sensitive information though our website.

Use of Data

When a visitor provides personal information to us, we use it for the purposes for which it was provided to us. E.g. to contact a prospective student or resident with regards to accommodation.

Our websites do not collect or compile personally identifying information for dissemination or sale to outside parties for consumer marketing purposes or host mailings on behalf of third parties.

Collection and use of technical information

This website uses 1 cookie. This cookie is used while you are on the website, is called a session cookie and is to record the language version of the site you are looking at.

• Confirm your reservations
• Send you emails that relate to an upcoming stay
• Respond to your customer service inquiries or request

Email Communications

Email communications that we use are described in more detail as follows;
Reservation/Stay related Interactions: We may send you a reservation confirmation email to confirm any reservation you make with HVC.  Similar confirmation may be sent if you change or cancel a reservation. These confirmations will only be sent if a transaction is conducted.

Emails may also be sent to answer any queries with regards to your accommodation. We may also send Email if there is a problem with your reservation.

Post-Stay Communications: We may use your email address used for your reservation to notify you of any accommodation inspections.  An email will be sent 7 days before and inspection.

Operational Notices: Email addresses may also be used to respond to your maintenance inquiries and to answer any other questions you may have.

Requests regarding data supplied via this website

On request, we can supply copies of your personal data which you may have supplied via this website. If you wish to obtain such copies, you must write to HVC at our postal or email us. You should include any personal identifiers which you supplied earlier via this website (e.g. Name, address, phone number, e-mail address). Your request will be dealt with as soon as possible and will take not more than 40 days to process.

If you discover that HVC holds inaccurate information about you, you can request that HVC correct that information. Such a request must be in writing or via email.

In certain circumstances you may also request that data which you have supplied via the website be deleted. If you wish to request a deletion, you would generally be expected to identify some contravention of data protection law in the manner in which this office processes the data concerned.

Third Parties

Personal data collected by HVC, will not be transferred or disclosed to any third parties unless:

  • Required by law subpoena, search warrant or other legal process.

  • When explicitly requested by the person involved or a person representing them by written consent.  All requests must be made in writing.

There are other places on our website which may link you to third parties for e.g. Google Maps. Unfortunately we cannot control what information external links collect.

Social Media

This website is in no way sponsored, endorsed or administered by, or associated with Facebook or Twitter. You are providing your information to the office at Heatherview Court and not to these other sites.

The permission that you have granted to use on this website is solely for the communication of your application for a rooming request and throughout your stay.

Data Retention

The personal data you submit to us will only be retained for as long as is required for the purposes for which it was collected. Contact information about visitors such as mailing list information and phone number and/or residential address will only be kept for revenue purposes and will be deleted within those timeframes.

Access

Heatherview Court is committed to providing reasonable access for practical purposes to visitors to allow them the opportunity to identify and correct any inaccuracies. When requested and practical, Heatherview court will delete outdated identifying information from current systems.

When personally identifiable information is retained, Heatherview Courts Data Controller assumes responsibility for keeping an accurate record of the information once a visitor has submitted and verified the data. HVC does not assume responsibility for verifying the ongoing accuracy of the content of personal information. Where possible, if Heatherview Court is informed of any personal data changes to what was collected through the website is no longer accurate, HVC will make appropriate corrections based on the updated information provided by the authenticated student or parent of said student.

Security

Heatherview Court has implemented generally accepted standards of technology and operational security in order to protect personally identifiable information from loss, misuse, alteration or destruction. Only the Data Controller and one other assigned staff member of Heatherview Court are provided access to personally identifiable Information.
